Count the bags as carefully as the passengers
A group airport request needs two totals: people and luggage. Six passengers with six large cases need a different arrangement from six people carrying small overnight bags. Measure the awkward items
Include the longest item, such as a golf travel case or folded pushchair. Give approximate length, width and height rather than “normal luggage”. Hard cases cannot be squeezed into the same space as soft bags. Keep essential medication, passports and travel documents accessible, and allow staff to assess the complete load rather than planning to hold luggage on occupied seats.
Share one final list
Ask one organiser to collect everyone’s bag count the day before travel. A message such as “five adults, five large cases, three cabin bags and one folded pushchair” gives the team something concrete to check. Tell them if the return will include extra purchases. If the load changes, request a review before collection.

No. Passenger capacity and luggage space are separate limits. Describe the actual load and ask staff to confirm a suitable arrangement; an alternative vehicle or more than one vehicle may be necessary.
